Nenolink operates 100% online, except for certain accounting documents, which are stored at a private, locked location. Most personal information is stored in a cloud-based, secure system with two-level authentication. The information can be accessed from work PCs and, in some cases, from a phone (which is also secured). The system includes web-based databases and email, as well as an online accounting system with separate login. The domains nenolink.com, nenoweb.dk, and nenotext.com are secured with SSL. Translations are processed electronically in CAT tools (such as SDL Trados) and in web-based translation systems with cloud-based management. Production materials and documents (which may contain personal information), as well as lists of tasks and accounting materials, are stored in a secure cloud-based system and synchronized between a few workstations (desktop PC and laptop with lock and VPN, as well as an Android-based device with VPN). Version control and backup are in place. Materials are typically sanitized annually, except when the customer requires immediate deletion or as specified in agreements with the customer. Translation Memories and Term Bases may be stored longer but typically do not contain personal information. There are customer/partner agreements with the companies behind these services.
**How Long is Personal Information Stored?**
Emails and files related to translation tasks containing personal information are stored until the specific translation task is completed, after which they are deleted. An archive is kept as a backup in case customers return. Contact information is stored as long as the collaboration with the customer is ongoing. The information is reviewed annually and backed up as long as required by tax authorities and other regulatory bodies.
**Disclosure of Personal Information to Third Parties**
Nenolink does not disclose personal information to third parties, except as necessary for accounting and invoicing, as well as banking, PayPal, and similar services. Involved customers control the payment method used. Production data may, in certain cases, be processed in AI tools. Here, the third party's data protection applies (they are typically secure and only store data temporarily during processing).
